POSITION SUMMARY:
 

We’re on the hunt for a stellar Executive Assistant that is friendly, patient, driven, detailed and has a “can do” attitude to support our EVP of Development and Construction.

Hours are M-F, 9:00 AM to 6:00 PM 



This position is responsible for providing exemplary Executive-level support. Responsibilities include managing calendars, phones and emails, and developing/implementing process improvements. Responsibilities include but are not limited to:


RESPONSIBILITIES:

  • Manage Executive calendars, review and respond to emails, process mail and schedule simple to more complex meetings (i.e., monitoring client/prospect meeting requests, etc.)


  • Optimally screen incoming phone calls or emails and route correctly to proper Executive for action, direction or follow-up. Obtain accurate and specific details about the caller and the reason why they are calling.


  • Arrange comprehensive coordination of meetings and special events.


  • Coordinate all meetings on Executives’ calendars as well as pick-ups and drop-offs.


  • Assist in preparing presentations, meeting documentation and other items for internal and external meetings.


  • Coordinate special events, and other projects as deemed necessary. Attend events as needed.


  • Ensure Executives are arriving to their meetings promptly.


  • Make travel plans including arranging both private and commercial flights. Booking travel is a frequent task for this role.


  • Assist other EA’s when necessary.


  • Work hours are generally from 9:00 AM to 6:00 PM



REQUIREMENTS:

  • Requires high school education or equivalent.
  • Requires 5+ years of experience working with C-Level Executives.
  • Must be very detail oriented and highly organized.
  • Must be able to discreetly handle sensitive and confidential material.
  • Requires the ability to work with VIP clients and senior management.
  • Requires exceptional written/verbal communication and organizational skills.
  • Must have a keen sense of urgency.
  • Requires knowledge of Microsoft Office programs and internet search engines. Must be very tech savvy!
  • Requires the ability to work both independently and in a team environment.
  • Requires the ability to perform long-range tasks while handling short-term interruptions.
