Administrative Assistant II
The Salvation Army, an internationally recognized non-profit, faith-based organization, has an opening for an Publications Coordinator/Administrative Assistant II for the Southern Territory Headquarters, located in Atlanta, Georgia.
Job Summary
Maintains databases for Salvation Army domestic and foreign publications. Processes billing information to all eight (8) divisions and processes checks from individual subscribers. Liaison between NHQ, THQ, and all eight (8) divisions to coordinate all corporate partnerships. Provides administrative support to the CRD Secretary and CRD Operations Manager. The work performed by the individual in this job is confidential in nature.
Knowledge, Skills, and Abilities
Knowledge of general office practices and procedures. Knowledge of effective and efficient recordkeeping practices and procedures. Knowledge of basic computer skills and have a good working knowledge of Microsoft Word and Excel. Knowledge of basic mathematics. Knowledge of project management skills. Knowledge of effective and efficient record-keeping, bookkeeping practices, and procedures. Knowledge of accepted practices and techniques involved in budget and report preparation, recordkeeping, and business communications both oral and written. Knowledge of Salvation Army publications (or similar publications) and how they are utilized within programs, services, and ministry. Knowledge of excellent communication skills, including written correspondence. Ability to learn the broad scope of departmental operations and services in order to serve as an information resource and to provide assistance in a timely and effective manner. Ability to become Familiar with how Salvation Army Advisory Boards interact with Corps Community Centers and Officer personnel. Ability to gather, compile, and assemble information into a final product for letters, records, reports, spreadsheets, etc. Ability to maintain an efficient and organized filing system to ensure that items can be retrieved in a timely manner. Ability to determine the most effective and efficient method to accomplish work objectives and goals and to work. Ability to work under limited supervision. Ability to plan and organize work effectively. Ability to Proficiently increase and maintain an organized filing system, preparing spreadsheets, MS Excel basics and maintaining a database. Ability to manage multiple priorities and must meet deadlines. Ability to build and maintain effective working relationships throughout the Southern Territory, National Headquarters, and other locations. Ability to learn and demonstrate knowledge of CRM or similar system. Ability to achieve and demonstrate successful outcomes in handling difficult situation and customers. Ability to build and maintain effective working relationships with the user teams at the Corps, Area Command, Divisional, and Territorial levels of the organization. Ability to build and maintain effective employee relations with CRD Team members. Ability to show initiative and can act independently to resolve problems and issues.
Education and Experience
Two-year degree from a vocational or technical school including course work in Business Writing, Typing, Math and Computers, and Two years’ experience performing project management work and administrative support work in an office environment or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
License & Certifications:
Project Management Professional (PMP) a plus.
Valid Driver’s License
Physical Requirements/Working Conditions
Able to sit at a computer for several hours a day. Ability to answer the telephone in a courteous and tactful manner. Ability to sort documents alphabetically and numerically. Ability to maintain accurate, complete, and organized records. Must be able to travel if necessary. Minor lifting (less than 15 lb.) Working Conditions: Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts with noise, dust, dirt, and the like.
