Administrative Assistant for the Education Department:

Responsible for assisting visitors and/or applicants within the education department. Provides administrative assistance to the Director of Education and holds administrative duties across the department.

 

Knowledge and Abilities:

  • Strong organizational skills
  • Ability to multitask and handle fair amounts of stress when busy
  • Maintain a positive and professional attitude at all times
  • Computer literate, able to operate copy/scanner/fax machine
  • Proficient in MS Office and MS Outlook

Essential Duties & Responsibilities:

  • Schedule and coordinates classes, training events, classroom reservations, examinations, appointments and meetings
  • Provide timely and accurate information to incoming customers 
  • Answer calls and relay messages
  • Distribute registration forms and course schedules to all affiliate locations
  • Schedule and organize CPR courses, contact and schedule instructors
  • Take minutes for meetings, assist in preparation of administrative documents
  • Maintain reception area and conference room in neat and orderly fashion
  • Order, distribute, track and monitor usage of training and AHA equipment and all supplies
  • Check-in packages at front desk
  • Maintain confidentiality of all employees, corporate and student records and information
  • Other duties as assigned

Qualifications:

  • High school diploma or equivalency
  • Previous customer service and office experience required
  • Excellent computer skills; including, but not limited to MS Outlook and MS Office required

Physical Demands:

While performing the duties of the job, the employee is frequently required to sit, stand and walk. The employee is occasionally required to reach with hands and arms, bend and stoop and lift 50 lbs. Specific vision abilities required by this position include ability to adjust focus. Also, the employee is occasionally required to work under high pressure in a fast-paced environment.

 

Work Environment:

While performing the duties of the job, the employee is regularly in verbal contact with others and constantly works face-to-face with and around others. Consistently uses office equipment such as computers, copy/fax/scanner machine, and telephone
