Working with the corporate Facilities team located in Ottawa. The Facilities Coordinator will be responsible for maintaining office equipment, and physical space. Including monitoring that meeting rooms, kitchens and public areas are organized and equipment provided is in good working order and materials are readily available. As well as handling building equipment emergencies on an ongoing basis, liaise with company employees and outside contractors, and provide support to all aspects of the Facilities team. You will be part of a core team that directly contributes to Ross Video’s success.

What the job is all about:

  • Monitoring that the meeting rooms, kitchens, and public areas are organized, and the equipment provided is in good working order and materials are readily available. This includes confirming audiovisual equipment works, ensuring cleanliness and hygiene standards, and replenishing consumables including soft drinks, coffee etc.
  • Provide backup coverage at main reception as required daily for breaks and lunches.
  • Monitor minor building service issue fixes with landlord/service company; escalate major issues to management.
  • Providing support to all aspects of the Facilities team, such as assisting with office moves, inventory, ordering supplies, and arranging deliveries. This includes maintaining records of assets, invoices, receipts, and inventory levels, as well as ensuring compliance company policies.
  • Monitor the active jobs logged on to the help desk and ensure work is completed in a timely manner. 
  • Assisting with issuing and cancellation of security badges and users in the Ottawa sites as required.
  • Assist with key & lock changes and ordering of supplies as needed.
  • Interacting with internal customers and dealing with their requests in a professional and expedient manner.
  • Assist with project implementation as required.
  • Perform other related duties as required.
  • Travel between offices across the Ottawa region.

 Who you are:

  • High School Diploma is required.
  • Experience in customer service environment is required.
  • Proficient in MS Word, Excel, Access & Visio is required.
  • French, Spanish, or other languages are an asset.
  • Valid Driver’s License with vehicle required for occasional travel to Ottawa sites.
  • Experience assisting with shipping & receiving an asset.
  • Experience with Reception duties an asset.
  • Strong verbal communication and interpersonal skills,
  • Willingness to learn.
  • Occasional heavy lifting which could include moving up to 75 lbs on a hand truck.
  • Frequent walking between several buildings at the Ottawa Campus
  • Frequent carrying and stacking of boxes of various sizes and weights.
  • Steel toes required.
  • On Call is required
