PURPOSE OF ROLE:

The Export Account Representative is responsible for owning the sales order entry process while ensuring the companies’ transactions are handled in accordance with Ravago’s policies and export laws. 

The purpose of this role is to provide support to the customer service team members, sales representatives, and other internal customers as needed for export activities and inquiries.

The Export Account Representative serves as the point of contact for export freight inquiries, coordinating bookings for ocean and air shipments, and as a liaison to assist with any other export issues

(compliance, documentation, etc).

 

KEY AREAS OF ACCOUNTABILITY:

 

  • Process the Customer's Export purchase orders and requests according to Ravago’s policies and procedures by entering the Sales Orders in Blue/Ohm
  • Request quotes for our Export shipments, when necessary.
  • Create the Shipment File associated with the Sales order with accurate and complete details.
  • Communicate order status to customers, including backorder information, blanket order status, and future order confirmations
  • Monitor Sales Orders by daily review of the Sales Orders report. Responsible to check the status of each order and follow up on orders that require the Export Sales Coordinator’s attention.
  • Process all export inquiries for our International House Accounts and internal customers as requested (Customer Service team, Sales Reps, Product Managers, etc)
  • Communicate all export-related updates, including booking confirmations and any changes to the

shipment to all appropriate parties by acting as liaison between the Customer, Commercial team and Ravago International Traffic, Export and Documentation Coordinators.

  • Work with the International Compliance department as necessary to ensure all export shipments are handled in accordance with legal requirements.
  • Master Data Management - Request Company Activation ensuring all relevant information is included including Company Owner and their identifying information when relevant.
  • When the Denied Party Screening process performed by Compliance requires further information, gather the relevant information in a timely manner and escalate as necessary.
  • Generate Pro-Forma invoices for the customers and RTN’s when needed per shipment.
  • Issue Canada Commercial Invoices for our Canada shipments.
  • Request Letter of Credit draft from the customer once Quotation has been sent and follow up on corrections, if needed.
  • Follow up on Sailing and Final Documents, verify the documents in a timely manner to ensure accuracy and completion before sending copies to the final customer. Request corrections as needed to the Documentation Department.
  • Enable business continuity by promoting cross training with other members of the team.
  • Participate in backup and load balancing process among members of the Export Account Representative team during periods of high workload, vacation and time off.
  • Responsible for fomenting and maintaining a cohesive team environment in the Export Account Representative team.
  • Facilitate and promote a cohesive team environment across the Operations team.
  • All other duties as assigned.

 

REQUIRED SKILLS

  • Associates or Bachelor’s Degree a plus. 
  • Understanding of Export process
  • Understanding of International Commercial Terms (INCOTERMS) as well as with commodity classifications in Schedule B
  • Understanding of Electronic Export Information
  • Knowledge of US Customs Requirements a plus
  • Familiarity with international documentation (Commercial Invoice, Letters of Credit, Packing List, Certificate of Origin)
  • Proactive Approach and Accountability
  • Strong follow-up skills; ability to organize applicable job timelines and follow up with internal and external contacts as needed.
  • Ability to work with different Operational groups throughout the organization
  • Ability to accomplish multiple tasks within the agreed upon timeframes through effective prioritization of duties and functions in a fast paced environment.
  • Detail oriented
