Summary 
The Legal Data Specialist will provide word processing and administrative support as part of a fast-paced, high volume Shared Services team that supports attorneys and other professionals. The Legal Data Specialist is a non-exempt administrative position and reports to the Shared Services Manager.  There are no direct reports to this position.
  
The Legal Data Specialist will work a regular schedule as determined by the Shared Services Manager and/or HR.  The typical schedule will consist of 7.5 hours per day equating to 37.5 hours per week. Additional hours (including overtime) will be required on occasion. The scheduled shift hours will consist of 7:30 AM - 4:00 PM. 
 
This position is available in Charlotte, NC, Raleigh, NC, Greenville, NC, Columbia, SC, Charleston, SC, or Atlanta, GA.
 
Primary Duties and Responsibilities
•    Type, record, edit, store, and revise data for various correspondence
•    Generate reports, forms, statistical tables, presentations, spreadsheets, etc.
•    Scan, convert and format correspondence using appropriate software
•    Transcribe a variety of correspondence (reports, letters, memos, notes, deposition summaries, interrogatories, requests for production, etc.)
•    Convert various file types to/from each other (i.e., WordPerfect, Adobe PDF, .tiff files, Word, Excel, PowerPoint)
•    Create merge documents for letters, mail merge, name tags/badges, etc.
•    Auto generate Table of Contents, Table of Authorities and document comparisons
•    Troubleshoot documents applying existing knowledge
•    Operate various word processing equipment (i.e., scanners, etc.)
•    Provide attorneys with administrative support (i.e., time entry, data entry, transcription, correspondence, printing, etc.)
•    Maintain off-site storage files database and index file boxes
•    Interpret a variety of instructions in written, oral, diagram or other form and produce quality work product
•    Participate in continuous training to gain knowledge of new equipment and software used to produce work product
•    Comply with department and Firm policies and procedures
•    Carry out additional duties as assigned by manager or other leaders 

Requirements
•    High School diploma/GED and a minimum of one year of word processing or administrative experience in the legal industry; additional word processing or administrative experience, technical certification or college degree preferred
•    Knowledge of Microsoft Word and Microsoft Excel preferred (e.g., advanced formulas, pivot/summary tables, data visualization skills, etc.)
•    Familiarity with time entry software preferred
•    Intermediate knowledge of Microsoft PowerPoint and Adobe
•    Ability to type 70 wpm
•    Expert knowledge of reference tools (i.e., The Chicago Manual of Style, etc.)
•    Excellent proofreading skills and command of the English language, including grammar, usage and punctuation
•    Advanced formatting competency required (e.g., Styles, auto-generated TOCs, TOAs)
•    Experience with dictation software
•    Exceptional interpersonal and customer service skills. Ability to respond to frequent, high demands in a professional and courteous manner
•    Ability to work independently under tight deadlines, managing multiple tasks simultaneously and accommodating rush requests
•    Excellent oral/written communication skills and time management/organizational skills
•    Self-disciplined with strong work ethic; motivated to seek out opportunities and conquer challenges; and work well with little/no supervision
•    Ability to thrive in a fast-paced, team environment working toward common objectives
•    Availability to work outside of scheduled hours, including evenings and/or weekends, to meet deadlines as necessary
