Maintenance Vendor Coordinator

Dutch Wonderland Family Entertainment Complex

 

 

Summary:

This position is primarily responsible for providing support to the Dutch Wonderland Maintenance Department, which includes the Environmental Services department, as well as other departments when needed. This position reports to the Director of Maintenance.

 

Job Functions:

  • Assist the maintenance team with financial processes including development of the annual budget tracking expenses, processing invoices, completing check requests, establishing vendor accounts, and ensuring payments are submitted properly and on time
  • Enter quotes and orders into the company purchase request and payment system (PIMS) for the Maintenance Department.  Assist other Dutch Wonderland departments with PIMS entries on a case-by-case basis when other duties allow
  • Maintain accurate department electronic checkbooks, submit budget variance requests as needed, and perform monthly budget reviews with the Director of Finance
  • Accurately enter quotes, orders, invoices, and payments into the Maintenance Department Capex Checkbook to track expenditures related to capital expense projects
  • Submit supply and parts and supply orders to vendors when requested
  • Ensure office supplies and department forms are stocked, including ride inspection sheets, ride operator sheets, time sheets, ride maintenance logs, etc.
  • Review and correct payroll time sheets and time clock entries for the Maintenance and Environmental Services departments
  • Submit downtime in the InforEAM system
  • File records and documents in a timely manner for the Maintenance and Environmental Services departments
  • Maintain the department ride and facility historical files
  • Greet and assist guests, contractors, and other visitors that enter the Support Center building
  • Keep the Support Center entryway and reception area clean and organized to present a professional appearance at all times
  • Record and type minutes of weekly management staff meetings, and maintenance team meetings, and distribute them in a timely manner
  • Contribute to maintaining a safe working environment for all employees
  • Other duties as assigned

 

Basic Qualifications:

  • Must be 18 years of age or older
  • Must have at least a high school diploma or GED
  • Must be able to read, write, speak, and understand English
  • Must have a vali driver’s license

 

Additional Qualifications:

  • Must be proficient with Microsoft Office applications, especially Excel, Word, and Outlook, and be able to become proficient and accurate with company software applications.
  • Must be able to file and retrieve documents in a timely and efficient manner
  • Must pay attention to detail and have excellent organizational and time management skills.
  • Must be able to greet and interact with staff, guests, and contractors in a friendly, positive, and professional manner in person and on the telephone

 

Working Conditions:

  • Physical requirements include the ability to sit, walk, speak, hear, lift up to 20 lbs., and use common office equipment such as computers, photocopiers, scanners, fax machines, and telephones
  • Must be able to work indoors in an office setting, as well as occasionally outdoors in a variety of weather conditions
  • Must be able to work 7AM to 3PM Monday through Friday. These hours may vary based upon operational needs
  • Must be willing to work extended hours when necessary
