Administrative Manager
Department of Health and Human Services

Annual Salary Range: $57,512.00 – $86,257.60

Job Summary:  The Administrative Manager will coordinate and provide executive level support to the Administrator,  Chief Officers/Executive Leaders as needed, and related internal and external customers of BHS.  To perform all forms of administrative duties including the coordination of tasks in support of the function and operations of the Mental Health Board and its designated sub-committees, public meetings, and business.  Oversees BHS facility operations for the Coggs building and BHS outpatient clinics.

 

Essential Duties and Responsibilities:

  • Calendaring; liaison to Co., State & Fed officials; purchase & travel for admin staff/Board; intermediary for Administrator/Board; coordinate correspondence, assist w/events & projects; staff internal admin meetings; field & direct BHS inquiries for assistance of all levels
  • Chief coordinator to Board & committees; compile Board reports; create agendas, files, public meeting notices; record/document all Board actions & minutes; advise Board on policy, parliamentary procedures, & protocol; ensure statutory requirements & deadlines are met.
  • Provide direct oversight of all performance & results of assigned support staff daily, including goal setting, performance measurement, feedback, & addressing concerns; coordinate work assignments; provide hands on assistance, orientation & direction.
  • Update and maintain the Mental Health Board website, CLIC/Legistar, and the City of Milwaukee E-Notify system, ensuring public posted information is current and accurate.
  • Train and support new hire logistics; setting up email; getting clock ID; work with IMSD on software applications and hardware devices needed.
  • Balance competing priorities and deadlines with little to no supervision while working with staff from other County departments, community providers, community-based organizations, consumers, & the public.
  • Perform all other duties as assigned.

 

Minimum Qualifications:

  • Current resident of the State of Wisconsin.
  • Valid Wisconsin Driver's License and maintained throughout employment.
  • Associate’s degree or higher in Executive Level Administrative Support or closely related field.
  • At least three (3) years of experience in Administrative role at a Executive Level & Government/Public Entity Board Administration.
  • At least one (1) year of supervisory and/or management experience in a High-Level Public-Sector or Board Administration Support setting.
  • Advanced knowledge of all related computer and software applications, such as word processing and spreadsheets.
  • Advance knowledge of Acrobat Professional.
  • Intermediate knowledge of Titan CMS.
  • Intermediate knowledge of E-Notify.

 

Knowledge, Skills and Abilities:  ability to operate a personal computer; ability to prioritize and organize workload; ability to effectively communicate in written and oral form; ability to secure confidential information; ability to manage day to day office management; ability to develop long & short term goals with benchmarking to meet key office improvements and initiatives; maintain control of petty cash fund, approve requisitions for purchasing, travel expense report preparation, facilitate professional services accounts payable invoice process; knowledge of government protocol, parliamentary procedure, policies, & statutes, i.e. State Open Meetings law requirements.
