REALTY TRANSACTION COORDINATOR | JOB DESCRIPTION

 

SUMMARY

At Magnolia, the Realty Transaction Coordinator is responsible for ensuring contract deadlines are met through contract-to-close process, assist agents in communicating with all parties to the transaction, handle administrative duties relative to contract-to-close activities and provide office coverage as needed Monday through Friday. This position works from Magnolia Realty in Waco, Texas. It reports to the Waco Office Leader and has no supervisory responsibilities.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Uphold Magnolia’s manifesto and values
  • Set up and maintain files and filing systems (MLS, Back Agent, Brokermint, etc.) for each active transaction
  • Assist agents in gathering the real estate documents for each active transaction
  • Maintain accurate communication between all parties (including agents, sellers, buyers, lenders, title, broker) from contract-to-close
  • Send client pertinent communication as outlined by Office Leader (e.g., welcome letter, key dates letter, time to close letter, thank you letter, etc.)
  • Create files for newly executed contracts
  • Complete contract-to-close checklist within the deadline dates and track progress for newly executed contracts
  • Review each active file daily to ensure timely completion of all tasks related to those files
  • Prepare, deliver, and follow-up on notices, disclosures, and amendments as needed
  • Regularly follow up on outstanding compliance items
  • Submit completed documents to Compliance at least seven days prior to close date
  • Perform other duties as assigned

 

QUALIFICATIONS

  • Hard skills: Proficiency in Microsoft Office Suite required, functional knowledge of MLS and DocuSign preferred
  • Soft skills: Strong verbal and written communication skills; excellent time management skills; detail oriented and motivated by teamwork and collaboration
  • Education: Bachelor’s degree from a four-year college or university preferred
  • Experience: 2+ years in the real estate industry required, specific proficiency in completing transaction documents preferred
  • Special training or licenses/certifications: Must hold an active TREC real estate license
  • General availability: Must be available to work evenings and weekends occasionally as business needs require

 

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit; use hands to handle, feel, and utilize fine finger dexterity; reach with hands and arms; talk or hear and taste or smell. The employee is frequently required to stand and walk. The employee is frequently required to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. WORK ENVIRONMENT

While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate.
