GENERAL POSITION SUMMARY

This position provides second tier leadership of the payroll function and direct payroll projects from inception to implementation including testing and execution of new pay and tax codes in compliance with multi-state and local withholdings.  This position is responsible for state and local tax research, auditing state and local jurisdictions twice annually. Responsibilities include processes, communications, investigations and corrections needed to ensure weekly payroll processing, auditing the payroll process, verifying and validating salary changes for impacts on pay and entitlement policies. This position acts as back up to the Head of HR Shared Services for training and daily direction of the Payroll Administrator.

Job Duties and Responsibilities:

  • Manage the weekly processing and disbursement of multi-state payroll, including garnishments, benefits and taxes to 1,750+ employees consistent with federal, state and other wage and hour laws
  • Audit the processing of new hires, temporary workers, transfers, promotions and terminations to ensure W-4s, payroll balance sheets, YTD earnings, etc. are accurate and timely
  • Provide training and support for Payroll Administrator.
  • Ensure that systems support and reflect state/local reciprocity rules for withholding and our current payroll policies, processes and employee base, including wages, benefits, and PTO.
  • Register for tax identification numbers as needed
  • Respond to state and local tax inquiries timely
  • Review Wage and Tax report weekly and clear errors immediately
  • Support Head of HR Shared Services on all quarterly and annual tax tasks, which include Nevada Modified tax returns, Delaware tax returns, W2 reconciliations quarterly, and many other year-end tasks.
  • Support Accounting with any GL reconciliations.

Additional Requirements:

  • Strong understanding of HR, Payroll, Tax and Finance business processes as well as intra and inter-departmental functions and interdependencies
  • Demonstrated experience with multi-state payroll and payroll tax
  • Knowledge and understanding of all payroll reporting, including providing the payroll reports necessary for Accounting’s general ledger and month-end balancing.

POSITION QUALIFICATIONS

Education:

  • Bachelor’s degree in Human Resources, Business, Finance, or other related field, preferred.
  • Certified Payroll Professional (CPP) preferred.

Related Experience, Qualifications and/or Certifications:

  • 8+ years related payroll and tax experience in a multi-site organization with specialized knowledge of payroll, benefits and financial systems.
  • Demonstrated experience and knowledge of SaaS payroll systems and vendor management.
  • Demonstrated expertise with multistate payroll taxes at federal, state and local levels.

Computer Skills / Special Equipment Knowledge:

  • Thorough knowledge of Microsoft Office suite - Excel, Word, PowerPoint is required.
  • Thorough knowledge with HRIS and Payroll systems, preferably Ceridian Dayforce

WORK ENVIRONMENT

Individuals in this position generally work in an office environment that involves the use of office equipment, such as computers, copiers, telephones, and other office machinery/equipment.  Individuals may experience occasional exposure to a retail sale and/or warehouse environment involving material moving and heavy equipment (e.g. forklift) where there may be some exposure to moderate noise, outdoor elements (heat and cold) and airborne particles.
