The Budget and Grants Accountant will assist with preparation of annual Agency-wide budgets; to include revenue and expense budgets at the program, division, and organization level for A New Leaf and any partner agencies. This role will also assist the Director of Budgets and Grants Management and the Grants and Contracts Division with the preparation of budgets by program or other appropriate segment for purposes of submitting grant applications, proposals or other solicitations for funding.

Salary: $62,000 - $67,000 DOE
Schedule: Monday – Friday 8am-5pm
Location: Mesa, Arizona

QUALIFICATIONS
Education
:

  •      High school diploma or GED required
  • Bachelors in Finance, Accounting, or other business related fields required.

Experience:

  • Experience with routine collection and analysis of financial information 
  • Experience with federal, state and local grants and contracts and related billing processes 
  • Experience with preparing and submitting invoices and reimbursement requests and related accounting transactions. 

RESPONSIBILITIES:

  •  The Budget and Grants Accountant will assist with preparation of annual Agency-wide budgets; to include revenue and expense budgets at the program, division, and organization level for A New Leaf and any partner agencies. This position will also be responsible for preparing quarterly budget to actual comparisons of revenues and expenses by program, division, organization or any other format requested. The Budget and Grants Accountant shall also assist the Director of Budgets and Grant Administration or other Finance Leadership with the preparation of ad hoc budget or actual reports or analyses.  
  • The Budget and Grants Accountant will assist the Director of Budgets and Grants Management and the Grants and Contracts Division with the preparation of budgets by program or other appropriate segment for purposes of submitting grant applications, proposals or other solicitations for funding. These budgets should be prepared in alignment with the Agency-wide budgets. 
  • The Budget and Grants Accountant will review grant agreements and contracts to identify the funding amounts, budgets, due dates and other billing requirements; and shall identify and establish individual billing methodologies based on the funders' identified requirements. This individual will monitor contract budgets to ensure that billing amounts stay within the established line item allotments. This position will utilize these budgets to assign costs to individual grants for billing purposes to ensure proper accounting for grant expenses, and to alleviate the risk of double-billing expenses. 
  • The Budget and Grants Accountant will be responsible for maintaining an Accounts Receivable Manual to summarize the billing, matching, reporting and documentation requirements for each grant or funding contract received by the Agency. This manual shall be updated no less than annually to reflect the most recent billing, accounting and reporting requirements of the grant agreements or contracts. 
  • The Budget and Grants Accountant will assist in preparing monthly and quarterly billings to funder agencies under grant agreements and contracts. This process will include gathering information from the general ledger, collecting appropriate back up documentation, preparing billings using forms provided by the funder agencies, preparing invoices, submitting the billings (email, mail, or hand-delivery), providing follow up information to funders, and managing the receipt of the funds. The Budget and Grants Accountant may also be responsible for recording billing transactions in the general ledger. 
  • The Budget and Grants Accountant will be responsible for compliance with matching requirements. This position will be familiar with the matching requirements for each applicable grant or contract and the eligible forms of match for each. The Budget and Grants Accountant shall maintain a master grants log for the Agency to include a mechanism for tracking compliance with matching requirements for each grant and for the Agency as a whole. This position shall notify the Director of Budgets and Grants Management or Finance Leadership if it believes that the Agency will not be able to meet its match obligations in sufficient time to allow for remedy of the deficiency.
