Primary Responsibilities: Under general direction from the Corporate Operations & Property Manager, assist in managing reception duties at the branch office.

Percent Time Spent

Essential Functions


  1. Perform receptionist duties, including but not limited to, answering the phone promptly and greet incoming guests.


  1. Manage Business Trip Requests from employees. Coordinate travel arrangements if necessary.


  1. Assist upper management personnel with administrative duties.


  1. Responsible for ordering office supplies for all offices within the group.


  1. Assist Operations/Property Manager with special duties

Secondary Functions:

  1. * Provide assistance to all staff in Operations department.

  1. * Perform other duties as assigned

Knowledge, Skills and Abilities:

  1. * High school graduate.

  1. * Possess at least two (2)+ years of secretarial or office administration experience;

  1. * Able to professionally and effectively communicate with employees, business partners, and clients in English and Japanese. Able to read, write, and speak fluently in Japanese is preferred.

  1. * Proficient with Microsoft Office applications, e-mail, and standard office equipment.

  1. * Able to work independently and work cooperatively with others in a professional manner.

Working Conditions:

  1. * Air-conditioned office or, remote workplace.
    Occasionally do errands outside for site inspections and meetings with service suppliers in variable weather and environmental conditions, such as noise, dust, vehicle exhaust and fumes.

Working Hours

  1. * Normal business hours: Monday – Friday, 8:00 a.m.–5:00p.m., with possible overtime, as deemed necessary, with prior management approval.

  1. * Regular attendance is required in the workplace or, remote work.

    Physical Demands:

    1. Frequent – carrying less than 25 pounds, sitting, vision hearing;

    2. Occasional – pushing, pulling/lifting less than 25 pounds up to 50 pounds, standing, walking, stair climbing, kneeling, stooping, forward reaching, overhead reach, eye-hand-foot coordination;

    3. Seldom – pulling/lifting/carrying more than 50 pounds, running, bending, crawling, squatting, crouching, climbing, twisting, side bending, grasping, handling, finger dexterity.

    Communication Demands:

    1. Frequent – requires talking and writing to co-workers, customers, & outside trades persons/vendors, talking on the telephone, responding to written or verbal requests of co-workers and vendors, training/giving verbal instructions, receiving verbal & written instructions, writing/composing written language, reading;

    2. Occasional – requires visiting/working at different work sites;

    3. Seldom – requires supervising others.
