The Practice Management Department Coordinator is responsible for the coordination and tracking of department workflows and projects. This individual will provide administrative support to the Director and will ensure that project status and deliverables are gathered, tracked and communicated to team members.  In addition, the Project Coordinator will be responsible for administrative duties, special projects, meeting coordination, and generating/analyzing reports related to the management of the department.

  • Project Management – Skilled at providing project management support in a highly organized manner. Can understand current process and turn it into a workflow.
  • Communication  Exceptional written and verbal communicator;
  • Analysis – Strong Attention to detail and proficient at conducting data analysis in Microsoft Excel;
  • Building Relationships – Adept at connecting with others in a way that fosters trust and creates collaborative relationships.

Responsibilities:

  • Provide project management support by gathering status updates from stakeholders, tracking progress on deliverables, and organizing meetings 
  • Oversee workflow of creating and changing team structures for Janney advisors
  • Manage the creation and distribution of corporate communications, newsletters, and meeting agendas
  • Serve as initial point of contact for department-related tasks
  • Utilize Microsoft Excel to assist in the preparation and analysis of regularly scheduled reports related to business operations
  • Oversee processes related to a variety of day-to-day administrative and operational functions

What you have:

 

  • Bachelor’s Degree preferred or equivalent experience.
  • Minimum of three years of project coordination experience in a corporate setting.
  • Proficiency with Microsoft Office and Windows.
  • Strong written and oral communication skills; ability to communicate effectively with individuals at various levels within the organization.
  • Attention to detail and strong analytical, organizational and problem-solving skills.
  • Must be able to work a hybrid schedule – approximately three days per week in the office.
