Summary

The Special Projects Coordinator position supports the Operations Department by ensuring all logistics for projects are well organized.  This position will assist with communication with various departments, organize reporting, plan meetings, and provide updates to Managers.

Essential Functions and Responsibilities

  • Evaluates client request to determine the services that are being set up match their needs and requirements.
  • Review cost estimates, SOWs, and related documents and send them to client after approval.
  • Serve as the liaison and point of contact between Crisis24 EP and Operations vendors, prospects, and clients.
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
  • Assess project risks and issues and provide solutions where applicable.
  • Be able to problem solve resolution activities for all Operational issues.
  • Participate in a variety of meetings, representing ground transportation issues and communicating updates and department policy to all functional areas of the organization.
  • Ensure appropriate safety procedures are followed and compliance with all national and regional Operational directives, laws and requirements is satisfactory.
  • Track all projects to ensure that project deadlines are met in a timely manner.
  • Work closely with the different security teams.
  • Undertaking project tasks as required and developing project strategies.
  • Documenting and following up on important actions and decisions from meetings.
  • Process and maintain a wide variety of files, logs, reports, and forms.
  • Monitor and adhere to internal operational controls, including legal, corporate, and regulatory procedures to ensure the safety and security of client assets and personnel.

Work Environment

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, scanners, copiers, filing cabinets and fax machines.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk and hear. This position requires the ability to occasionally lift office products and supplies, up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Position Type/Expected Hours of Work

This position is a non-Exempt position, as determined by the Fair Labor Standards Act. Regular full-time working hours equate to 40 hours each week.

Travel

This position does not require routine travel.

Education and Experience

  • A high school diploma is required
  • An associate degree or bachelor’s degree in business or related field is preferred
  • Exceptional verbal, written, and presentation skills
  • Competency in Microsoft applications including Word, Excel, and Outlook
  • Three plus (3+) years of experience in an Operational environment is preferred
  • Multi-lingual and multi-cultural skills are preferred
  • Military experience is preferred
