This is a full-time position located in the Sales & Catering Department with variable/flexible working hours to include weekends, holidays and overtime as required. Benefits will be offered after successful completion of a sixty (60) day introductory period. This is a promotional opportunity and is an internal/external recruitment.

 

 Job Description:

The position provides support to the Director of Sales & Catering and General Manager. Primary duties include managing all administrative functions within the Sales, Catering/Convention Services, and Accounting Departments as it relates to Groups and Events. In addition, other duties include working closely with all departments within the resort to ensure that functions run smoothly, and the expectations of the guest are met and exceeded.

 

ESSENTIAL RESPONSIBILITIES:

• Maintain complete knowledge of and comply with all departmental policies/service procedures/standards.

• Maintain complete knowledge of correct maintenance and use of equipment.

• Manage day to day functionality of the Sales/CS/Catering offices ensuring that equipment/technology is properly working, ordering/maintaining office supplies and coordinating/posting office schedule

• Produces daily, weekly, and monthly reports

• Accepts and distributes mail to all departments

• Collects and posts all incoming payment checks in check log

• Manage and create vouchers and coupons for Sales & Operations

• Creates/Produces Door Signs for Door Holders on Meeting/Event Space

• Answer telephone inquiries in a timely and courteous manner. Request sufficient information from the caller to be able to forward the call to the appropriate team member.

• Meet and greet all visitors in a pleasant, courteous, and professional manner.

• Assist Sales, CS and Catering Team with walk-in customers and site inspections. Secure and inspect site rooms for site inspections.

• Track, maintain, distribute third party lead reports

• Create and maintain sales kit inventory and appropriate collateral

• Maintains all files in a neat and orderly fashion, keeps history records including master file history, agendas, sales contracts, lost business, and other sales information.

• Managing of all Group, Tour and Travel as well as Catering Contracts:

• Complete the daily turnover process of all new definite Sales & Tour and travel Group contracts – ensuring      that the packet contains all needed information

• Overseeing the processing of payments, deposits, direct billing
 Reconciling the Banquet Checks at the end of the event to ensure proper posting as well as capture of all revenue in Delphi/Salesforce FDC

• Attend designated meetings, take minutes, transcribe, and distribute

• Assist with managing of Delphi/Salesforce FDC database as needed/requested to assist the Sales and Catering Teams (Software Super-User/Admin)

• Responsible for organization/appearance of workspace in Executive Office Area

• Assists with additional administrative and operational functions as requested

 

JOB REQUIREMENTS:

• Must be able to speak, read, write, and understand the primary language(s) used in the workplace.

• Must be able to read and write to facilitate the communication process.

• Requires good communication skills, both verbal and written.

• Must possess basic computational ability.

• Must possess basic computer skills, including Word, Excel, and Account Management software. (Delphi knowledge is preferred)

• Must have excellent interpersonal and sales-related skills.

• Must have exceptional organizational skills.

• Must be able to handle multiple tasks and projects daily.

• Must be able to accurately type at least 50 words per minute.

• Must be able to work independently with little or no supervision

• Talking and hearing occur continuously in the process of communicating with guests, supervisors, and subordinates.

Qualification Standards:

Education: High school or equivalent education required. Bachelor’s Degree preferred.

Experience: Prior administrative/receptionist experience required. Prior hospitality experience preferred.

Licenses or Certificates: Not applicable.

Grooming: All employees must maintain a neat, clean, and well-groomed appearance per company standards
