Schedule: Monday through Friday, 8am to 4:30pm

$16.50 - $22.10 per hour / DOE

The Supply Chain Assistant is accountable for support and assistance in any area of the Supply Chain department that may be required, including coordinating inventory activities for assigned department, facility, or clinical program, or processing purchase orders, requisitions, or spend/purchase analysis for the department. Responsibilities may include Replenishment, Picking, Staging, Delivery, Put Away, Special Orders & Substitutions, Binning, Cycle Counts, Recall Management, Inventory Relief, PO Processing, Purchase Research and Sourcing, Receiving, and other Supply Chain activities as needed. The incumbent can at times be a direct liaison between a department or clinical program and other Supply Chain Team members.

 

The Supply Chain Assistant would be well rounded in all aspects of the department; however, is a support personnel and not a sole subject matter expert on any one area of the work.  Some duties will require little supervision due to being in the field unsupervised at times.

 

Essential Job Functions:

  • Floater position between various Supply Chain roles to support gaps in workload needs.  This could include:
    • Warehouse Receiving/Shipping
    • Inventory Management within Health Centers
    • Purchasing Functions such as Processing PO’s
    • Supply Expense Spend Analysis
    • Special Project Activities
  • Learns to operate within the basics of our ERP Materials Management Information System (MMIS), Microsoft Dynamics
  • When directed, works with assigned department or clinical program to resolve any supply issues needing resolution (e.g., recalls, alerts, substitutions, missing items, etc.). This will include working with assigned buyers and other supply chain team members.
  • Coordinates tasks effectively between receiving personnel, Inventory Coordinators, and Buyers to reconcile any receiving discrepancies for assigned projects.
  • Works with Supply Chain leadership as directed with outside suppliers on purchase orders and/or product research.
  • As assigned, works with departments and buyers in the processing of repairs, credits, returns, or exchanges. This involves getting RGA/RMA numbers, collecting information, tracking of product, and assisting buyers with proper paperwork to manage any specialized orders.
  • Assists and supports inventory management functions for assigned departments or clinical programs to ensure optimal inventory levels in meeting patient care needs; including accountability for replenishment activity in assigned locations using established Standard Operating Procedures (SOP's).
  • Coordinates and utilizes the ERP system to ensure that distribution, inventory, receiving, and departmental files and reports are managed correctly when used.
  • Ensures customer satisfaction is being maintained throughout the procurement process by serving as a supply chain resource for all internal customers.
  • As needed, conducts warehouse cycle counts and product spot checks.
  • When covering Central Supply day-to-day roles, receives, put away, and pick orders as required.
  • Assists in scanning and uploading packing slip documentation as needed.
  • Maintains a clean, safe, and hygienic work environment in compliance with all Policies and Procedures including, but not limited to work areas, workstations, examination rooms, hand washing, infection prevention and control etc. for this position
  • Demonstrates an understanding of and proficiency with the application of all compliance and reporting requirements respective to Joint Commission Certification (JCC) standards.

Minimum Education and Experience: 

  • A High School Diploma or General Education Diploma (G.E.D.) is required.
  • Two (2) years’ experience post high school/GED completion in a professional service-related role or industry related to Supply Chain, Customer Service, Business, Accounting, or other relevant experience.

If applicable, equivalent combination of education and experience may be considered, and must be directly related to the functions and responsibilities of the job.

 

Required Licenses, Certifications, and Registrations:

  • Employees in this position are required to have reliable transportation that can meet any operational reassignments of the organization during the workday.  If an employee is driving during work hours, the employee is required to possess a valid driver’s license and must comply with Arizona vehicle insurance requirements.

Preferred Education, Experience, Skills, Abilities:

  • Two (2) years or more of post high school education in Supply Chain and/or Logistics.
  • Two (2) years’ experience in a Supply Chain role within a healthcare environment.
  • Experience working with Microsoft Dynamics MMIS.
  • Experience working in healthcare purchasing.
  • Experience working in a warehouse environment.
  • Bilingual (English/Spanish) with the ability to speak, read and write in both languages
