Payroll Administrator 

Position Summary 

Responsible for accurately processing company wide payroll on a bi-weekly basis. The payroll administrator will also be responsible for reporting, compliance, and record retention for all wage and payroll functions.

Reports to: Director of Human Resources

Supervises: None. 

Role Responsibilities:

  1. Define and implement all policies, processes, and procedures related to payroll at all locations.
  2. Complete all tasks necessary to accomplish timely and accurate processing of payroll.
  3. Responsible for auditing all payroll entries as well as labor, OT, meal break penalties, etc. and follow up with leaders to address areas of concern.
  4. Assist in the preparation of a variety of payroll related documents for the purpose of documenting payroll activities and issues, meeting compliance requirements, and providing audit support.
  5. Assists with reconciliations related to payroll and benefits inclusive of producing reports that reconcile monthly payroll deductions, such as garnishments, medical premiums, and 401k. Ensures compliance with garnishment requirements, based on specific state and federal regulations.
  6. Maintain payroll records, confidentiality – do not divulge wage, salary, or personnel information to unauthorized staff.
  7. Understanding of and support internal and external payroll audits i.e., annual payroll worker’s comp audit and 401k audit.
  8. Prepare annual reports for filing EEO-1, and CA Pay Data.
  9. Prepare and process reports for annual bonuses and merit increases, and payroll census for medical benefits open enrollment.
  10. Responsible for maintaining all work rules have been set up accordingly in our payroll system.  Regarding OT rules, penalty payments, etc.
  11. Provide support, training, and education to staff as needed regarding payroll, timesheets, etc. This will include responding to email and phone inquiries.
  12. Responsible for the setup, maintenance, and ordering of all timeclocks.
  13. Responsible for staying abreast of local/state/federal laws relating to all areas of payroll.
  14. Assist in the set-up of payroll in new US locations and provide guidance and expertise as needed.
  15. Must have the following knowledge, skills and abilities and perform the essential functions of the job, with or without reasonable accommodation, using some other combination skills and abilities: 
  • Must have knowledge of Federal/State labor, wage and hour, and compliance laws.
  • Basic mathematical and excel skills necessary to analyze and prepare reports.
  • Demonstrate thorough knowledge of payroll, time and attendance policies, and payroll planning for multiple states.
  • Ability to effectively deal with employees, some of whom will require high levels of patience, tact, and diplomacy to defuse anger, resolve conflict, and collect accurate information.
  • Ability to travel to training sessions, hearings held in local areas.
  • Ability to communicate clearly, both orally and in writing.
  • Ability to work efficiently and effectively while maintaining attention to detail.
  • Ability to work with minimal supervision.
  • Ability to handle confidential information.
