Job Summary

Executive Assistant who will support the Managing Director of Residential.


  • Maintaining Outlook Calendar: Scheduling, arranging and rearranging meetings as the need arises, keeping Senior Management informed up to the minute regarding changes.
  • Screening incoming calls and returning messages if directed by supervisor.
  • Organizing daily correspondence in terms of importance.
  • General correspondence support:     
  • Distribution 
  • Scanning documents as needed.
  • Preparing letters from transcription or hard copy drafts.
  • Preparing memos and updating contracts – generally from hard copy drafts.
  • Minor Filing – both hard copy and electronic.
  • Sending out correspondence via Federal Express, Certified Mail or Regular Mail, as needed. 
  • Creating and Formatting (particularly Excel) documents for printing.
  • Preparing materials for meetings when necessary.
  • Assisting in researching questionable invoices. 
  • Creating/organizing charts and reports:
  • Quarterly Reports, and binder updates, utilizing Microsoft Office tools, to include financial variances, marketing/traffic, renovations and projects update reports. Creating a comparison analysis to the corresponding quarter of the previous year. 
  • Miscellaneous Charts – Other miscellaneous charts covering various topics, as needed.
  • Occasional travel arrangements which includes arranging air, ground transportation and hotel accommodations.
  • Planning events to include meetings, team building activities and social gathering of associates as directed by COO, VP, or Managing Director.
  • Occasionally registering senior management personnel and others for an event.
  • Creating binders, ordering supplies, keeping printer full, miscellaneous projects and tasks as they arise
  • Run Yardi reports.
  • Prepare memos, large mail mergers, presentations, update (run) reports and compile information, prepare and manage expense reports.
  • Field and attempt to resolve resident complaint calls/emails/letters/faxes if escalated beyond Portfolio Managers.
  • Occasional minor support for other departments.
  • Other Duties as assigned.

  • 2 year college degree required, bachelor degree preferred.

  • Prior experience working for a senior level executive.

  • 2 years working as an Administrative Assistant.


  • Ability to maintain confidentiality is a must.

  • Meticulous attention to detail required.

  • Independently manage multiple tasks and projects with competing priorities and deadlines.

  • Ability to communicate effectively across various departments.

  • Proficiency in MS Office, word processing, spreadsheet, internet, PowerPoint in order to complete required reports, produce necessary communication materials, and use the internet for communication, research, and other business purposes.

  • Proficiency in project management skills to track and monitor progress and follow up.

  • Ability to work independently in a fast-paced environment.

  • Ability to interact with management personnel.

  • Excellent verbal, written, and interpersonal communication skills.

  • Dependable, great attitude, highly motivated and a team player.

  • Possess strong organizational skills and attention to detail.

  • Ability to multi-task and meet multiple deadlines.

  • Adaptive and flexible to new ideas and change.

  • Ability to work in a changing environment
