BASIC PURPOSE:

Responsible for intake, triage, tracking, management and follow up on behalf of the WFS Contract Services team including supplier inquiries and compliance documentation including pending contracts and amendments. Maintains the central repository and assists with projects and initiatives as needed. Position will work closely with and at the direction of the Workforce Solutions Contract Manager.  This is a temporary position.  
 

ESSENTIAL FUNCTIONS:

  • Follow detailed instructions and adheres to processes utilizing technology.
  • Assist with the addition and removal of suppliers from VMS technologies as directed by the WFS Contract Manager.
  • Coordinate and monitor the status of program invites and assist new suppliers with questions pertaining to required documentation as needed.
  • Data entry including set up of initial supplier profile in Salesforce, internal systems and technology.
  • Monitors all compliance and contacts suppliers who have expired documentation ensuring that they meet all the required criteria.
  • Manage department email intake and triage/escalate to the appropriate point of contact for processing and/or resolution.
  • Assists with standard supplier inquiries and requests, both internal and external, to include supplier invites, providing copies of contracts, obtaining W9, general contract inquiries, etc.…
  • Issues amendments and addendums on behalf of the WFS Contract Manager and monitors, tracks and saves to central repository.
  • Emailing and calling suppliers in follow-up to pending documents and reporting/recording status.
  • Electronic tracking of follow-up activities, status of compliance and received documentation in the repository.
  • Manage the distribution and storage of electronic documents.
  • Maintain contact distributions on behalf of the department and account management team.
  • Identify and organize documents within the central repository.
  • Assist on department projects and initiatives as directed by supervisor.
  • Maintain confidentiality
  • Other duties as assigned


QUALIFICATIONS:

Education and Experience

  • High School diploma or GED equivalent. Minimum two (2) years’ college preferred.
  • Three – five years administrative work experience.

Skills

  • Excellent computer skills and ability to use web-based technologies.
  • Strong Word, Excel and PowerPoint knowledge preferred and a plus.
  • Must be able to work both independently and effectively in a team.
  • Self-motivated
  • Highly organized with attention to detail.

    • Able to perform in a team environment but also with minimum supervision.
    • Able to perform well under pressure.

            • Employees must possess comfort in learning, training, and engaging with others virtually through Microsoft Teams and Zoom.
