Role Summary:

The Project Coordinator’s primary purpose is to coordinate, and oversee on-site execution of OEM, legacy engine upgrades and/or supply new OEM equipment for natural gas operators both in the US and global markets. The COOPER Project Coordinator is a detailed resource who has knowledge and experience in managing and overseeing projects to accomplish stated company objectives. The Project Coordinator, as the liaison onsite, will utilize experience and technical knowledge to interface with customer and ensure Cooper’s best interests and project deliverables are adhered to.

 

Duties & Responsibilities:           

  • Oversee project activities while on-site, including budget management, schedule development and reporting in accordance with COOPER‘s Project Management work processes and Customer-specific contract conformance requirements.
  • Interface with customer and ensure a clear communication channel to convey execution plans, progress updates and to manage changes in scope.
  • Assist in development of appropriate Project Execution Plan including strategies for both the development and implementation phases of the project.
  • Ensure close and effective coordination with all internal stakeholder groups, including sales, engineering, sourcing, and operations.
  • Work with Project Manager to plan for craft and contract labor.
  • Verify and control deliveries of equipment and materials to the construction schedule.
  • Ensure Sub-contractor performance is monitored and measured against contract terms and conditions.
  • Review, evaluate and approve all scope changes prior to implementation.
  • Ensure completion of project deliverables on time, on budget and within scope.
  • Prepare formal reports as required for customers.
  • Ensure opportunities for improvement are identified and documented as lessons learned throughout the project life cycle.
  • Maintain a high level of focus on health, safety and environment. Ensure safety within all project work.
  • Consistently maintain and demonstrate a high regard for personal safety, for the safety of company assets, employees, and the general public.
  • Other duties as assigned.

 

Position Requirements:

  • High School Diploma or equivalent
  • 5+ years' experience as a Project Coordinator.
  • Familiarity with P&ID drawing and able to read and interpret as required.
  • Familiarity with pipeline compressors and engines is desired.
  • Past experience working directly with customers within a Project Management or similar capacity.
  • A satisfactory driving record and a current, valid state driver's license.
  • Proficient with computer applications, including Microsoft Suite and scheduling software.
  • Experience with scheduling using Microsoft Projects a plus.
  •  Experience in Slow Speed Stationary Gas or Diesel Engines
  • Ability to identify types of transmitters and functional limitations.
  • Experience with Allen Bradly RS Logix 5000 and support systems would be a bonus.
  • Ability to read mechanical blueprints required.
  • Ability to read and understand construction blueprints required.
  • Ability to read electrical drawings and interface types with customer equipment required.
  • Main Line Gas Pipeline transmission experience a plus.
  • Power generation with Medium Voltage Generation Gear a plus.
  • The ability to bend conduit and know types of fittings would be a bonus.
  • The ability to bend SST Tubing up to 3\4” and know fitting types would be a bonus.
  • Microsoft Excel.
  • Microsoft Word.
  • Experience with SAP a plus.
  • Travel up to 80% and work at other site locations throughout the U.S.

 

Before The Projec

The Project Coordinator should accompany engineers on site visits. Doing so allows them to become familiar with the station and personnel prior to arrival on site for construction.

Important tasks for a pre-construction site visit.  

  1. Identify panel mounting location. Work with the customer to identify the best place to mount the panel. 
  2. Identity skid mounting location. As with the panel, work with the customer to find the best location for the fuel skid. 
  3. Determine conduit mounting location.
  4. Estimate conduit, wire, and tubing lengths.
  5. Facilities. Where will the supervisor and crews work from? What restroom facilities will be available. Are there restrictions on vehicles and limited parking?

During The project 

The Project Coordinator’s most important role is overseeing on site work and communicating with the customer and Cooper project management.

 

Daily Meetings

Every day will start with a safety meeting. If additional work is being conducted, customers will often have a joint safety meeting for all contractors.

After the safety meeting, the Project Coordinator should meet with Cooper’s contractors and identify tasks for the day. It is important to understand the entire scope of the project as well as the critical path items which can affect the schedule. The Project Coordinator should direct the work, not react as it is happening. At the end of the day, construction should meet again with the contractors to see what they have accomplished.

Communication

The Project Coordinator must keep in constant communication with the project manager. An agreed upon reporting structure should be established so the project manager knows about on-site progress and any issues that arise. Additionally, the on-site customer contact should be regularly updated as well.

Documentation

The Project Coordinator should create a daily report. This report will include all meetings conducted, daily plans, project status, etc. This document is important for many reasons, one of the most important is tracking time. This will help with bidding future projects as it gives an idea of how much time construction of different types actually takes. Additionally, if there is standby time or anything where the customer will receive a variation order/change order, we have the documentation to present. This report also keeps project management well informed.

 

Identifying Changes in Scope

Project Coordinators, as part of construction supervision duties, should also be aware of additional work that falls outside of the original scope and make sure that is communicated to project management and the customer prior to the work being done. It’s also important that the contractors inform the Project Coordinator of anything they perceive as being additional work. Any additional work being done by the contractor must be approved by construction supervision.

Drawings

Red line drawings – it is critical to work with the subcontractors to identify and fix errors and update the drawings during construction. Those drawings will be left for commissioning to continue editing and send back for As-Builts to be completed.

Handover to commissioning

The handover from construction to commissioning is extremely important. Lapses in communication from personnel changes can often lead to confusion and frustration on the part of the customer. Prior to the departure of the Project Coordinator, commissioning should arrive on site for a proper handover. Project Coordinator should inform the commissioning engineer of:

  1. Reporting requirements
  2. Meeting requirements
  3. On site customer contacts
  4. Safety information
  5. Changes in scope, drawings, etc.

 

Physical demands:

  • Employee must be physically capable of completing and satisfying all training requirements as stipulated by local, state or federal agencies and/or COOPER Machinery Services and customer policies, as required.
  • Exposure to smells and fumes associated with natural gas products.
  • Field activities may include walking to and amidst work and/or construction sites, working around heavy equipment, negotiating rough terrain, areas of loose rock, etc.
  • Field work frequently involves getting dirty, sweaty, dusty, and hot, especially during summer months.
  • Travel to remote areas within a particular region may involve extended periods of driving.
  • Extended periods of sitting may be required for administrative activities.
  • Ability to lift 35 lbs.
  • Ability to climb stairs/ladder.
  • Will requiring standing for long periods, sitting, squatting, etc.
