The Payables Accountant III is responsible for completing the full cycle of the Accounts Payable process, from collecting and reviewing incoming invoices and the related documents and support through the issuance of payments to vendors, customers and employees. The Payables Accountant III must be detail oriented and have the ability to adhere to established Bank policies and procedures.

 

Essential Functions:

 

  • Manages payments to vendors, customers and employees which includes ensuring accurate general ledger account coding and the payment and support is in compliance with Bank policies and procedures.
  • Assures that payments are processed accurately and timely.
  • Assures that vendor information is timely recorded and updated in Oracle Cloud, including obtaining and retaining W-9 forms and configuring vendor records accordingly.
  • Completes various vendor and customer checks including TIN validation and OFAC regulatory compliance.
  • Maintains files and documentation thoroughly and accurately, in accordance with Bank policy and procedures.
  • Contacts creditors with questions or concerns regarding invoices.
  • Backup for the preparation of intercompany billing.
  • Prepares and validates the Oracle Cloud 1099 reporting file to be incorporated in the annual filing.
  • Supports Finance management during internal and external audits, by collecting supporting documentation, organizing and labeling concisely.
  • Recommends ongoing enhancements to the accounts payable process to improve efficiencies and customer, employee and vendor experience.
  • Creates and maintains accounts payable related procedures utilizing standardized templates.
  • Assists in a variety of general ledger functions such as account reconciliation, journal entries, and the creation of daily, weekly, and monthly schedules.

Compliance with Laws & Regulations: 

  • Responsible for complying with all of the Bank’s internal control policies and procedures.
  • Responsible for understanding and complying with all laws and regulations to which the Bank is subject.
  • Responsible for communicating problems in operations, noncompliance with the code of conduct, noncompliance with laws and regulations, policy violations, or illegal acts.

 

Education and Experience:

  • Bachelor’s degree in accounting is required, four (4) years’ experience accepted in lieu of education requirement.
  • Five (5) years’ experience in Accounts Payable, preferably with Oracle ERP/Oracle Cloud is required.

 

Summary of Qualifications:

 

  • Experience with, and demonstrated skill at, the following computer applications:  Word Processing, Spreadsheets (Excel preferred), Accounting software (preferably Oracle Financials), E-mail, and Database software.
  • Ability to communicate and work effectively with all departments in the Bank. 
  • Ability to work with and apply mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Ability to solve practical problems and interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Must be detail oriented with strong organizational skills.
