Eagle Integrated Services, LLC is seeking a Research Administrative Assistant

 

Mandatory Qualifications

 

  • The contractor employee shall have a minimum of an Associates degree.
  • The contractor employee shall have at least three (3) years of demonstrated experience performing as administrative support, and the experience shall be within the last three (3) years.
  • The contractor employee shall have a minimum of one (1) year of demonstrated experience working with Principal Investigators (PI) in a research environment and shall be familiar with the research process and required documents.
  • The contractor employee shall possess outstanding customer service with the ability to work as part of a team.
  • The contractor employee shall possess extensive organizational skills and the ability to work independently.
  • The contractor employee shall be proficient in all applications of Microsoft Office including Word, Outlook, PowerPoint, Excel, and Access.
  • The contractor employee shall be able to display knowledge and the ability to maintain sites in Share Point for the Division.
  • The contractor employee shall have the ability to resolve questions, consult, and track down information on Share Point.
  • The contractor employee shall have a signed Non-Disclosure Agreement (NDA) in place with their company based on the potential access to confidential, proprietary, and/or sensitive information.  NDA shall be provided to the Government Program Manager by start of performance.

  • Experience in an administrative support position in a Department of Defense environment.

 

Tasks

 

  • The contractor employee shall review and implement higher headquarter guidance in support of the organizational mission as well as preparing documents for external communication. The contractor employee shall strategically and proactively manage data and update information retrieved from varied sources.
  • The contractor employee shall assist the Government in performing a variety of administrative tasks in support of the day-to-day oversight and management of the 711 HPW/RHBF branch by maintaining files, spreadsheets and presentations, preparing various types of documentation, tracking departmental deadlines and suspense dates for multiple taskings and mission requirements, scheduling division meetings, managing division TDY and leave requests and coordination.
  • The contractor employee shall support branch and division meetings (with some requiring preparation of briefing materials, and taking notes/minutes from the meeting), and other activities as required by the Branch Chiefs or delegates.
  • The contractor employee shall support the Branch Chiefs in administrative aspects of personnel management (tracking training, compliance with directives and maintaining files).
  • The contractor employee shall provide data entry, retrieval and management support while providing assistance to program and technical staff.
  • The contractor employee shall support the research studies in the Branch by providing administrative management and assisting with data collection, data entry, and reports as needed.
  • The contractor employee shall assist as 711 HPW/RHBF’s manager and technical expert for SharePoint and the shared drive. The contractor employee shall maintain sites in SharePoint and the shared drive across the divisions. The contractor employee shall also resolve questions, consult, and track down information on SharePoint and the shared drive.
  • The contractor employee shall type routine correspondence and reports using a personal computer, and operate office equipment such as photocopier, fax machine, scanner, and video teleconferencing equipment. The contractor employee shall also answer the telephone, relay messages, greet visitors and maintain schedules for the Branch Chiefs. The contractor employee will be the first person visible when visitors enter the workspace, and therefore shall maintain a professional appearance, decorum and provide outstanding customer service.
  • The contractor employee shall assist in maintaining a clean, safe, and healthy working environment to include engaging with facilities management to communicate division facility maintenance requirements, as needed.
  • Division Safety Support: The contractor employee shall assist with the Division Safety functions to include distribution of quarterly safety briefings to 711 HPW/RHBF personnel, assist in the development and maintenance of a tracking system to monitor training requirements and due dates, monitor RHBF personnel training requirements and notify Division leadership of non-compliance.
  • Division Supply Custodian: The contractor employee shall assist with the division supply management functions to include keeping an inventory of available office supplies, ordering new supplies when requested through the approved ordering method (GSA account), and providing access to supplies.
  • Division Security Support: The contractor employee shall assist with the Division Security Manager functions to include receipt and dissemination of security related communication to RHBF personnel, provide recommendations to improve effectiveness and eliminate deficiencies with processes, and management of the secure computer room/SCIF. Management of the secure computer room/SCIF tasks may include room reservation and management, ensuring secure room protocol has been followed.
  • Records Custodian: The contractor employee shall assist with the Records Custodian duties to include working closely with division leadership and other staff in the maintenance, care, and keeping of the official records of the division. The contractor employee shall maintain an orderly file system in accordance with AF and AFRL guidance that ensures availability for inspection.
  • Morale Function Events: The contractor employee shall assist with the division morale function events to include resiliency training. Tasks to include assisting with organizing and coordinating morale events and coordinating with the Division Representative for the Wing morale team. Attendance to morale events are not required for the contractor employee.
  • Building 824 Access Card Support:  The contractor employee shall assist Division with coding proxy or Common Access Cards to gain access to Building 824.  The contractor employee shall not perform any work considered inherently Governmental.
