Assistant Company Manager
The Alvin Ailey American Dance Theater is seeking a highly motivated and personable Assistant Company Manager. This position is responsible for all company management aspects of the productions for all domestic and international tours, outreach and special events. The Assistant Company Manager reports directly to the Company Manager and works closely with the Artistic, Production, Crew and Staff.
This ideal candidate must have a comprehensive knowledge and background of a performing arts organization, experience touring with a dance company and a solid production background. Position to be filled immediately.
Candidate works closely with Company Manager in a variety of aspects, which may include but is not limited to:
TRAVEL (Domestic and International) Airports
- Creating and monitoring the company travel schedules
- Supervising company members on hotel, airport and buses transportation
- Airport group check-ins
- Monitoring baggage claim and additional ground transportation as needed
Ground Transportation
o Create budget and monitoring actuarial expenses
o Works with Ailey’s booking agent to secure union compliance bus companies
o Monitor company deviations and separate travel
Hotels
o Assist with hotel check-in procedures and room key distribution
o Create, complete and distribute rooming list
o Monitor hotel check-out and incidentals payments
ADMINISTRATIVE DUTIES
Passports and Visas
o Monitoring the validity of passports and alien work authorization permits
o Work with presenters and embassies to secure visas necessary to enter countries for future tours
o Manage payments and oversee reimbursements to the Company
Tour Books
o Update itineraries and supporting documents
o Research local information for tour cities
Travel Request Forms
o Monitor, distribute and collect forms for all domestic and international travel
o Update and log information including flight lists, hotel rooming lists, travel times and hotel in/out List
PUBLIC RELATIONS and MARKETING
Interviews
o Coordinate and monitor all interviews with Artistic Directors and Dancers as requested by the Public Relations department
o Posting press clippings and reviews in each city
o Coordinating biography information with dancers and Marketing
o Meeting with press during Ailey’s home seasons and domestic and international tours
o Working with the dancers to approve union photos and communicating with Marketing
PERFORMANCE SEASONS
Backstage Tours
o Coordinate with the Development department and other parties as necessary for VIP, Board member and Donor tours
o Lead and direct groups, answer questions, etc.
Flowers
o Create budget and monitor expenses for NY seasons and on tour
o Supervise and organize onstage student presenters in conjunction with the Ailey School Directors.
REPORTS
Financial
o Monitor and maintain reimbursement receipts for the company
o Expense reconciliation of petty cash
o Reconciliation of the AMEX report and reconciliation
COMPLIMENTARY TICKETS
o Assist Company Manager with ticketing for venues
o Create comp ticket list
o Update web based platform
MISCELLANEOUS
o Assist Artistic Directors on tours and when needed
o Creating and posting memorandums for special event
o Proofreading
o
Mail Distribution
o Accompany company members to hospital, special events, press events etc.
o Maintain a comprehensive databank which includes updating company members’ information (address, phone, passports, etc.)
Required Skills, Qualifications and experience:
- Bachelor’s degree and/or a minimum of five years’ experience in touring with dance and/or theatrical production
- Ability to work a demanding schedule, including late nights, weekends and holidays and be away from Ailey’s home residence (NYC) for extended periods of time.
- Exceptional interpersonal and communication skills, both verbal and written, organizational skills and attention to detail. Multi-lingual abilities is a plus.
- Ability to take initiative, multi-task, and work graciously in a fast paced environment
- Previous supervisory experience required
- Experience working with artist unions and collective bargaining agreements
- Technical/Computer Skills: Windows and Mac OS and MS Office, PowerPoint, Excel, Work and Internet proficient
- Must have a valid driver’s license and passport
